Closing the School Year is the process of archiving records and purging data that is no longer needed for active use. Before closing the school year, export any data to retain using a DAT Query.

The following records will be purged:

- Attendance Records
     - Daily and Period attendance details will be cleared. Summary-level data for Daily attendance will be retained.
- Gradebook Grades
- Marks and Comments
- Student Photos
     - Purging depends on enrollment status:
          - Retained: If the student is Enrolled for the current or next year (e.g., Pre-Enrolled for next year).
          - Removed: If the student has a status of Withdrew for both the current and next year.
          - Graduated: Photos will be retained this year but removed during the next year's close if the Graduate status has not changed.
- Check In / Check Out Records
     - If billing is enabled: Only billed records will be removed.
     - If billing is not enabled: All records with a check-out date will be removed.
     Note: Invoices are retained, but their link to check in/out records is removed.
- Processed Notifications
     - Deleted unless tied to inquiries with an academic year that is the same as or later than the current admissions year.

Note: Archived report cards will remain available for individual download after the year is closed. Generating report cards for the previous year will not be possible, since marks and comments are cleared upon closing. Downloading report cards in bulk before closing the school year is recommended.
